Job summary

As a Receptionist, your focus will be to offer professional, high-quality customer service as the first point of contact within the practice, as well as provide a range of administrative services. This will include answering the telephone, responding to enquiries, redirecting calls, and completing reception-related administration.

Main duties of the job

  • Ensure total familiarity with all appointment systems including regular and incidental variations.
  • Book appointments and recalls ensuring sufficient information is recorded.
  • Monitor flow of patients into the waiting room ensuring the appointment system accurately reflects the arrival of patients
  • Monitor effectiveness of the system and report any problems or variations to the Senior Receptionist

Job responsibilities

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

Man the front desk and provide excellent customer service to patients and visitors in the practice

Complete patient tasks by arranging follow-up appointments and sorting referrals

Signpost patients to the correct service

Manage the generic practice email and sort queries appropriately

Manage all queries as necessary in an efficient manner

Monitor and maintain the reception area and notice boards

Support all clinical staff with general tasks as requested

Complete opening and closing procedures in accordance with the duty rota

Person Specification

Experience

Essential

  • Experience of working with the general public
  • Experience of working as part of a team
  • Have good IT skills
  • Exceptional interpersonal communication skills and good telephone manner
  • Able to work under pressure and remain calm

Desirable

  • Experience of administrative duties
  • Experience of working in a General Practice

Qualifications

Essential

  • Educated to GCSE level or equivalent

Desirable

  • Qualified to NVQ level 3
