Job summary

We are looking for a motivated and enthusiastic Medical Receptionist/Administrator to join our friendly, patient focused practice team at Parkway Medical Centre

As the first point of contact for most patients, this role is demanding but highly rewarding. You will work alongside a dedicated team that strives to provide exceptional service.

We sought to offer patients same day appointments and reduce the workload on our non-clinical team by operating a Triage Hub Model consisting of Receptionist/ Admin and GPA's and clinicians.

Candidates must be efficient, self-motivated, organised, and IT literate. They will also need to have good communication skills, a good telephone manner, be flexible and have a positive attitude.

The initial contract will be for 12 months fixed term however, this may be made permanent dependent on the needs of the business

Main duties of the job

  • Care navigation/signpost patients to the most appropriate service
  • Ensure all telephone calls are answered within a timely manner
  • Manage appointment requests telephone/F2F/e.consultations/home visits
  • Ensure efficient processing of pathology samples from safe collection to distribution of results internally and accurately notifying patients of the results.
  • Action requests for repeat prescriptions on the clinical computer system according to the prescribing protocol and ensure that they are ready for collection by the patient within 48 hours.
  • Manage communication into the practice, ensuring accuracy of detail and prompt appropriate action.
  • Scanning of patient related documentation and attaching scanned documents to patients' healthcare records
  • Promote health campaigns to appropriate high-risk patients i.e., the annual flu vaccination campaign
  • Open and secure premises.

About us

We are a highly respected training practice, providing healthcare to an increasing list size of approximately 9300 patients and we use Emis Web as our clinical system, serving the community of Coulby Newham, Acklam, Nunthorpe and Hemlington.

We have a modern purpose-built premises and in 2022 extended the practice to accommodate the increasing list size and numbers of attached staff such as pharmacists, mental health nurses, IRIS domestic abuse Specialist advocate and the PCN Care Home Team, a First Contact Physiotherapy Practitioner and Social Prescribers. The clinical team is currently made up of 5 GP partners, 1 salaried GP, 1 ACP, 3 Practice nurses, 1 Nurse Associate, 1 Nurse Associate in Training and an Advanced Healthcare Practitioner all supported by a highly experienced Management, Administration and Reception team.

Job responsibilities

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the practice manager, dependent on current and evolving practice workload and staffing levels:

  • Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
  • Maintaining and monitoring the practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Scanning
  • Prescriptions
  • Overseeing the administration support support of the practice.
  • Supporting the management team in dealing with administrative duties and reports.
  • Assist with Key Performance Indicator Targets
  • IT related tasks (such as website and social media updating)

  • Provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
  • Any other duties requested by the practice manager

Person Specification

Experience

Essential

  • Previous experience of working within a GP Practice, Hospital admin or other Clinical admin setting preferred.

Desirable

  • Previous experience of working within a GP Practice, Hospital admin or other Clinical admin setting preferred.

Qualifications

Essential

  • GCSE or equivalent qualification in English and Maths.

Desirable

  • Previous reception/business admin training course, not essential but desirable.
  • Customer service skills/Qualification
