Job summary

The Senior Administrator role is primarily responsible for supporting the Operations Manager and the CIH team in the collaborative delivery of services and support, based mostly in the office at our premises in Ethelbert Road, alongside providing administrative support for compliance and assurance systems.

Main duties of the job

The role includes:

  • supporting collaborative working across Canterbury
  • helping to establish and maintain effective compliance and assurance systems and processes
  • supporting with communications and the maintenance of TeamNet pages
  • working inline with the strategic vision for CIH
  • supporting the delivery and ensure regular data collation and reporting for CIH contracts
  • ensuring the annexe office is staffed during opening hours
  • scheduling, co-ordinating and servicing events and meetings

Canterbury Integrated Healthcare supports the 7 Canterbury practices and their PCNs covering a patient population of around 100,000 and we have worked together for many years.The local care vision in East Kent is for localities to develop a model of care that enables people to live as independently as possible by delivering high quality, person centred care that integrates hospital, social care, community and voluntary services around primary care networks of GP practices. The vision for Canterbury is for the two PCNs to work together to achieve excellent patient care through integrated pathways accessed close to home via local GP practices.

Job responsibilities

It is important to note that responsibilities will be varied and dependent upon CIH needs and this is not designed to be an exhaustive list. The following are the core responsibilities of the role:

General Admin Support

Provide high quality administrative support to the CIH team as required

Support for CIH meetings to include coordination and circulation of agenda, taking notes, maintaining action logs as required.

Collate data and produce reports as and when required.

Manage the generic email inbox and co-ordinate communication with the CIH team as appropriate.

Support with rota planning and cover arrangements.

Support with Education and Training Admin from time to time

Liaise with the Canterbury Care Home and MDT Clinical Leads as required

Ensure there is support for the Integrated Case Management Scheme and MDT meetings

Liaise with practices to ensure good understanding of service requirements, update process and administrative changes as necessary.

Act as a point of contact for practices and CIH staff as necessary.

Support with TeamNet and communications

To keep up-to-date with the Policies and Procedures

Other administrative duties commensurate with the role.

Support Service Delivery

Undertake any administrative tasks consistent with the level of the post and the scope of the role, ensuring that work is delivered in a timely and effective manner

Understand the requirements and support the delivery of commissioned services and contracts

Liaise with practices and contractors as needed

Support in the collection of data and information to aid compliance and performance activities

Compliance and Assurance administrative support

Help with Health and Safety activities such as regular checks and risk assessments and ensuring paperwork and reporting maintained and accessible.

Support record keeping and activities related to CQC assurance reporting

Help maintain accurate asset registers

Support Information Governance systems and reporting

  • Time management and ability to prioritise workload
  • Knowledge of EMIS Web Clinical System
  • Good knowledge of Microsoft Office software
  • Ability to work autonomously
  • Ability to follow policy and procedures

Desirable

  • Proficient in EMIS Web Searches and Templates
  • Experience of data analysis and producing high standard reports
