Job summary
Child and Family Health Devon
Child and Family Health Devon (CFHD) have an exciting opportunity for a Senior Administrator to join our friendly Single Point of Access (SPA) Team at Capital Court, EXETER.
Our Senior Administrator will have a key role in call handling and mailbox management as well as referral management within our clinical system and providing general administrative and organisational support for the wider business support function.
Part time - 30 hours per week Monday/Wednesday/Thursday/Friday 09:00-17:00 (4 days)
Main duties of the job
Main duties include:
- Providing excellent customer service by responding to incoming telephone and email queries in a timely and accurate way
- Use of electronic systems
- Preparation of electronic and paper files
- Assisting with reporting and compilation of data
- Processing incoming referrals to specific teams
- Producing outcome and appointment letters
- Booking of clinical appointments
- General administrative tasks

CFHD provides integrated care and treatment for children and young people across physical and mental health which are provided by Torbay and South Devon Foundation Trust and Devon Partnership Trust.
We are working closely with other organisations and providers to ensure we deliver locality and county-wide based integrated access to all of our services, based on the i-Thrive Framework, in response to consultation with our service users and communities.
CFHD works closely with our local universities of Plymouth, Exeter & the Peninsula Medical School where we support students in clinical training placements and in addition support our own staff to undertake post graduate training.
Our integrated care and treatment has been developed and refined in partnership with children, young people and their families/carers.

Person Specification
Knowledge
Essential
- Computer Literate
- Good working knowledge of Microsoft Office packages including Outlook, Word, Excel.
- Willing to undertake training relevant to the post
Desirable
- Good knowledge of a wide range of office procedures
Experience
Essential
- Clerical, administrative or reception experience (minimum 1 year).
- Ability to communicate effectively
- Interpersonal and organisational skills
- Ability to prioritise workload
Desirable
- Clerical, administrative or reception experience (minimum 2 years). Experience within a customer care, healthcare, education or social care setting.
- Experience with minute taking
Qualifications
Essential
- Good general education e.g. GCSEs or equivalent.
Desirable
- NVQ level 3 Business Administration or equivalent experience
