Job summary

We are excited to be advertising for a new volunteer coordinator post to join our small and busy team in voluntary services, this role will focus predominantly on administration, training and reporting across all volunteering activities, the successful candidate will have an experienced administration background, strong communication skills, be a team player and be very organised. The primary function of this role is to enable the service to increase volunteer capacity by driving efficiency in areas such as recruitment, data input, filing, reports, and compliance with mandatory learning. You will also support volunteer pilots and projects as directed by the Volunteer Service Manager.

Main duties of the job

  • To be responsible for coordinating all Voluntary Services training data and administration across Trust voluntary services in Chelsea and Sutton.
  • To liaise with and support our Voluntary Services coordinators with detailed, accurate and timely management of all administration duties that include recruitment, training, taking minutes, updating and maintaining database and file records.
  • To support volunteer pilots or projects to enhance the quality of voluntary services across the Trust. i.e. volunteer to career.
  • To pro-actively gather information and impact data that supports the development of the service, contact volunteers to ensure their mandatory training is up to date and liaise directly with them to maintain effective communications and ensure volunteers are well informed.
  • Cover for voluntary services coordinators colleagues in their absence

  • Answer enquiries from potential volunteers in a timely manner, providing information about volunteering and how to be involved.
  • Support Voluntary Services coordinators to arrange and organize interviews, ensuring documentation is prepared in advance, promoting efficiency and a professional service.
  • Update volunteer database and files throughout the recruitment process ensuring all records are maintained appropriately and updated as required.
  • To complete all screening checks required to include applying for references, DBS applications and Occupational Health. To ensure all mandatory training requirements are completed and updated at regular periods of expiry.
  • To ensure that all recruitment processes are carried out in a timely manner that enables the team to introduce volunteers as required

Person Specification

Education

Essential

  • NVQ Diploma Level or equivalent qualification or relevant experience in a similar role

Desirable

  • Volunteer Management Qualification

Experience

Essential

  • Experience of working in volunteering team/Health care setting
  • Experience of working independently and as part of a team within a busy office environment
  • Strong administration skills and attention to detail, able to use Microsoft office applications, Teams and experience of using database systems

Desirable

  • Previous experience of coordination of a large team of volunteers
