As an Area Facilities Manager, you will oversee all day-to-day operational property and facilities management activities across London. Your responsibility will be to ensure that buildings are fit for purpose, provide a safe environment, and comply with all statutory and legal regulations. This includes working closely with our Total Facilities Management Providers, managing repairs, preventative maintenance, cleaning, portering, waste, and security services, while also working closely with Capital Project Teams to oversee various asset replacement projects that align with operational needs and long-term estate planning.Main Activities/Responsibilities Your role as the Area Facilities Manager encompasses several key aspects (but not limited to): Responsible for understanding the business needs of HMCTS across all clusters to support and implement excellent facilities management services within operational delivery. Utilise expertise in facilities management and performance monitoring principles to define and implement effective systems and procedures.Monitor and contribute to a dashboard that reports progress and data for regular review and interaction within HMCTS, including at senior levels. Pay particular attention to user service level metrics, collaborating with the HMCTS Property Directorate and wider operation teams to enhance the user service experience across the estate. Report issues, trends, and proposed solutions to senior leaders for consideration and decision-making.Responsible for managing external service providers related to facilities management within the London area and contributing to monthly regional contract meetings. This includes leveraging an understanding of the contractor's services at both strategic and operational levels, as well as familiarity with contract types, documentation, terms and conditions, and management requirements. Supported by HMCTS commercial and legal departments, the role requires working effectively with contractors to ensure a high-quality, safe, and efficient facilities management service, in compliance with relevant contract law.Responsible for managing a geographically dispersed team of Facilities Managers and fulfilling any additional roles and responsibilities associated with line management, in line with HMCTS policy. What are we looking for? (Person Specification)The ideal candidate for this position should demonstrate:Essential A successful track record in managing people, properties and relationships across various sites. A strong background in Facilities Management & Contract Management understanding contract law, terms, and conditions.Established professional relationships with a range of stakeholders and users, using great negotiating and influencing skills to collaborate and share information to reach required outcomes.Strong communication skills; establishing professional relationships with customers and stakeholders, articulating complex processes and expectations whilst working closely with both internal and external parties.Proficient at using IT systems, such as Microsoft Teams, Word, Excel and analysing data to make informed decisions.A good level understanding of Fire Safety and Security. Familiarity of key Health and Safety regulations relevant to facilities management.Experience of working within defined policies and procedures, for example financial constraints.DesirableA technical hard or soft service qualification (e.g. Institute of Workplace and Facilities Management) or a suitable management qualification.Asbestos Awareness Training Knowledge of managing asbestos in buildings to ensure safety and compliance.L8 Training (Legionella Awareness) Experience with water hygiene management, particularly in preventing Legionella risks.BICS (British Institute of Cleaning Science) Cleaning Standards Knowledge of cleaning standards and procedures to maintain a high level of cleanliness and hygiene across facilities.CAFM (Computer-Aided Facilities Management) Portal Experience Proficiency in using CAFM systems to manage and track facilities services and assets.Budget Management Experience in handling budgets, particularly within underfunded or resource-limited settings.The qualifications listed above are not essential requirements for submitting your application, however these credentials are essential for the role. For a comprehensive overview of the role, please find the attached role profile.Further detailsThe London Region covers 35 sites, managed by three Facilities Managers, with most sites located within the M25.You will be expected to support your three Facilities Managers and your Regional Facilities Manager by attending site visits as needed to address escalations, management of projects and carry out various FM Audits. These may be raised by your team or key stakeholders, including Judiciary members at each site. Occasionally, the successful candidate may be required to travel to other HMCTS sites outside the region, in line with business needs. There is an opportunity to utilise our Business short term/daily car rental contract for travel to sites further detail can be provided.This role is full time, 37-hour week Monday Friday.The building sites listed in the advertisement are not exhaustive, The successful candidate will have the opportunity to discuss and agree their preferred base location in the London Region with their line manager at onboarding stage.
