Who You Are
- Educated to GCSE standard or equivalent, ideally with a focus on Business Administration.
- Proficient in numeracy, literacy, IT, and communication skills, including competent use of Microsoft packages.
- Experienced in data protection and working with sensitive information and information sharing protocols.
- Effective communicator with colleagues, agencies, and the public.
- Skilled in time management and prioritizing workload to meet service demands.
- Experienced in procurement processes, business administration, and related functions.
- Capable of working independently and flexibly to meet service requirements.
- Confident in diary management, meeting deadlines, and working effectively under pressure.
- Able to maintain confidentiality, resolve issues proactively, and handle complex, distressing situations professionally.
- Desirable: Advanced qualifications in IT, databases, business administration, finance, and customer care. Knowledge of local authority financial procedures and children's services policies.
What the Job Involves
- Develop and deliver comprehensive administration support across the service, including minute taking and coordination of meetings.
- Manage data capture and reporting, developing and updating electronic and paper systems for data storage.
- Provide informal training, support, and guidance to administrative staff, aiding in their professional development.
- Maintain accurate financial records, support financial planning, and oversee procurement operations and compliance with auditing procedures.
- Assist with recruitment processes, including safer recruitment requirements and induction programs.
- Support marketing and promotion strategies for the service, organizing events, conferences, and information networks.
- Manage facilities where relevant, ensuring compliance with licenses, insurances, service contracts, and operational procedures.
- Act as a key holder with responsibilities for securing appropriate licenses and maintaining operational procedures.
- Work with a range of internal and external partners, producing statistical information and maintaining manual and computerized systems.
- Travel across the borough as required.
