Job Description
Duties and Responsibilities Provide administrative support to the Specialist Screening Practitioners (SSP) to facilitate the patient pathway through the screening service. Maintain electronic patient information systems such as Bowel Cancer Screening System (BCSS) LE2.2, Somerset, Endobase to enable the patient to be progressed through the care pathway effectively. Assist in the distribution of pathology results to the SSP, ensuring that any abnormal results are flagged accordingly in a timely manner. Participate in educational/awareness sessions as identified by the BCSP. Attend meetings when/where necessary. nsure the security, maintenance and cleanliness of office accommodation and equipment. Participate in the development of new systems and processes to meet changing department requirements. Update Patient Tracking Systems. Booking of Interpreter and transport services. Prepare and maintain patient medical assessment packs to facilitate the patient pathway through community clinics and colonoscopy appointments. Photocopy, email and post clinical documentation to assist in the management of patient pathways. Retrieve/deliver case notes from/to appropriate departments, ensuring that the clinical systems are up to date to accurately reflect location of such. Ensure all relevant patient documentation, patient information and case notes are prepared in readiness for clinics and clinical sessions. Enter details onto Somerset Cancer Registry to assist in the monitoring of cancer waiting times. Book patients to telephone clinics ensuring paper and clinical systems are up to date with accurate patient, appointment and demographic details. Access local information systems to obtain patient information to assist in the preparation of case notes and updating of schedules. Assist with the process of recalling surveillance patients via the Bowel Cancer Information System. Maintain levels of office stock to enable smooth running of the service. Maintain levels of bowel preparation and order when appropriate. Liaise with health records staff, medical secretaries, other disciplines of staff and departments. Ensure any complaints or untoward incidents are dealt with in line with departmental and trust policies. Undertake non routine/adhoc administrative duties as required to support the smooth running of the department. Participate in the team briefs/meetings on a monthly basis, some flexibility around working hours may be necessary to attend. Open e-mails on a daily basis to ensure effective communication is transparent across the service. Operation of office equipment including photo copying of information to various departments both internal and external. Adhere to the confidentiality disclosure. Maintain accurate records to facilitate audit and analysis of performance. Ensure a sufficient knowledge of all administration process within the department to enable continuity of service in the event of administration staff sickness. Carry out other duties as appropriate to the post.
