Job Description
As the Business and Project Support Officer, you will play a key role in supporting the smooth delivery of strategic projects within the Strategy, Integration, and Health Inequalities team. Your responsibilities will span administrative, financial, and project management tasks to ensure efficient operations and the successful execution of health initiatives like WorkWell. Below is an outline of your key duties and responsibilities: Main Duties: Administrative Support: Provide high-level administrative assistance, including managing diaries, coordinating meetings, and booking rooms for various stakeholders. You'll prepare meeting agendas, take minutes, and ensure follow-up actions are tracked and completed. Project Coordination: Assist in the planning and coordination of key projects across the team, such as health inequality and prevention strategies. You will work closely with project leads to track progress, ensure deadlines are met, and maintain accurate project documentation. Data Management and Reporting: Collect, process, and analyse data related to ongoing projects. Support the preparation of reports, evaluations, and board papers, ensuring accuracy and timely delivery. Financial Administration: Manage procurement processes, including raising purchase orders, processing invoices, and monitoring budgets to support project needs. Event Coordination: Organise and facilitate ICS-wide events, from booking venues to managing event logistics. You will also support the coordination of team meetings and engagement activities with internal and external stakeholders. Content Management: Oversee the management of content and files within our internal file structure held on SharePoint, ensuring information is up-to-date and well-organised. Internal and External Communications: Draft and distribute internal communications, newsletters, and external updates, ensuring key information is communicated clearly across teams and partner organisations. Supporting Strategic Initiatives: Assist in the delivery of strategic health inequality projects, including prevention programmes like tobacco dependency and weight management. You'll also help coordinate the Health Inequality Ambassador Network. Key Skills and Qualities: Strong organisational and multitasking skills are essential as youll be responsible for managing various administrative and project tasks simultaneously. Proficiency in software tools like Excel, Outlook, and SharePoint is necessary to ensure smooth operations. Excellent communication skills, both written and verbal, are crucial for interacting with diverse teams and stakeholders. The ability to work both independently and as part of a team is vital to successfully support senior leaders and the wider team. You should have experience handling multiple priorities and working under pressure to meet deadlines. Specific Responsibilities: Diary and Calendar Management: Provide full diary management support to senior leaders, arranging meetings, appointments, and travel as required. Meeting Coordination: Organise meetings by preparing agendas, managing invitations, and distributing relevant materials. Youll also take minutes and track follow-up actions to ensure accountability. Project Reporting: Assist with tracking project progress and outcomes, compiling data and insights into comprehensive reports for senior management and key stakeholders. Event Logistics: Manage all logistics related to internal and external events, including venue bookings, catering arrangements, and attendee coordination. Procurement and Invoicing: Raise purchase orders, process invoices, and completing procurement tasks, ensuring all financial processes align with organisational protocols and recorded correctly.
