Job purpose The post holder will need to establish immediate credibility within the organisation and be able to develop and maintain effective working relationships at operational and senior management levels. The post holder will hold responsibility for delivery of the statutory targets within this area Deal efficiently and competently on a daily basis with complex administrative tasks often with tight deadlines. Require the post holder to proactively manage the CDC and provide support across all sites as required. Line manage, induct, develop and support admin team. You will be responsible for day-to-day operational management of the service Being the first point of contact, provide non-clinical advice and exercise own judgement when dealing with enquires and independently communicate effectively on behalf of the team to service users and other professionals. Deal professionally and promptly with telephone enquiries, taking and processing messages accurately and maintaining confidentiality at all times as per the Message Taking Policy and ensuring standards for customer services excellence are met. Monitoring the generic email inbox and actioning in a timely manner. Manage and prioritise own administrative support. Stationery and equipment management including ordering and monitoring supplies. Book and accurately record notes and actions of meetings. Attendance and chairing, where appropriate departmental meetings including the teams Operational meetings and other administrative meetings. To undertake other administrative duties commensurate with this grade of post in agreement with the relevant line managers. To provide cross site cover to support the needs of the service as and when required; this may include travel to other bases. Demonstrate daily duties to and less experienced staff to support their induction. Fire warden duties including keeping up to date with Trust training. Maintaining a database system for the stock take. Have knowledge of the lone working policies and procedures and maintain team contact information. Complete the daily administrative functions. To manage any risks or adverse events/near misses Carry out smartcard. Deal with phone calls ensuring all calls are dealt with in a polite, pleasant and professional manner. Maintain high quality standards by ensuring that the data entered onto Trust systems is accurate, complete and up to date. Manage sickness within the teams and arrange appropriate cover Manage booking of the rooms available in CDC via Bookwise and Radiology activity in CRIS Generate and provide regular compliance reports to the General Managers, Deputy and Director Ops for the Division Develop independent strategic planning in order to deliver change initiatives and process efficiencies Support all specialities involved with CDC The post holder must be able to effectively interpret and understand complex data and information to inform decision making processes. Working with the Radiology management team to ensure the CDC is compliant with relevant legislation, including radiation protection regulations Ensure governance processes are robust, and information flows between services. Ability to analyse performance data to identify areas for improvement Proficient in the use of MS Word, Excel, PowerPoint, Access and other project management software to enable production of high-quality reports for the Divisional and Trust Boards and other audiences Communications and Working Relationships General Management within the Division of D&S and OPD Project Managers and Project Support Managers across the Trust Divisional Directors and Clinical Directors Departmental Lead Nurses Directorate Teams Information, Finance and Information Technology staff Staff and Managers of the Clinical Commissioning Groups. General conditions Confidentiality: In the course of your employment, you may have access to, see or hear confidential information concerning the medical or personal affairs of patients and or staff. Unless acting on the instruction of an authorised officer, on no account must such information be divulged or discussed except in the performance of normal duties. Breaches of confidence, including improper passing of registered computer data, will result in disciplinary action, which may lead to dismissal. You should be aware that regardless of any action taken by your employing authority, a breach of confidence could result in a civil action for damages. In addition, records, including VDU screens and computer printouts of registered data must never be left in such a manner that unauthorised persons can obtain access to them. Written records must either be destroyed or retained in safe custody when no longer required, VDU screens should always be cleared when unattended. Data Quality:As part of your employment you may be required to record Patient Information (computerised or on paper). You have a responsibility to ensure that information is entered accurately, completely and consistently. It is particularly important that patients demographic details are kept up to date. Problems should be reported to your manager. No Smoking Policy:Gloucestershire Hospitals NHS Foundation Trust operates a no smoking policy. Smoking is not permitted anywhere within the buildings and grounds of all Trust sites. These restrictions include all areas up to the boundaries of all sites.
