Job summary
This is an exciting opportunity to join our Hospice Admin Team to provide a a responsive reception service.
The post holder will be the first point of contact for patients, carers and staff, both as 'meet and greet' face to face and also on the phone.
You will maintain the admissions, discharges and transfers to and from the Inpatient Unit accurately and in a timely manner, as well as help book patient transfers, manage maintenance issues, and maintain stock.
You will also provide clerical support to the Hospice Team and update SystmOne / Lorenzo as needed.
This role is 08:45 - 17:00, Wednesday - Friday.
Main duties of the job
Answer the telephone, prioritise calls and disseminate information verbally and via message books thus relieving staff from additional interruptions where appropriate and assist in the continuity of care.
Welcome all visitors to the Hospice, registering car details for parking as appropriate and showing visitors to the Ward. Act as the 'first point of call' for the Hospice.
Handle incoming and outgoing emails within appropriate timescales, and in accordance with departmental procedures.

Essential
- GCSE standard Grade C or above in English or equivalent qualification.
- NVQ level 2 in administration or equivalent experience
- Computer skills essential - good knowledge of Microsoft Outlook / Word
- Good communication skills - ability to communicate effectively with Clinical Nursing and Admin staff throughout the Trust and external organisations (eg GP practices, Nursing Homes) in person and on the telephone
- Ability to work on own initiative and as part of a team
- Ability to prioritise and manage own workload, working on own initiative across a busy environment as well as responding to the unexpected, being the first point of contact
- Effective communication/interpersonal skills with the ability to engage with patients/relatives calmly and sensitively, both in person and on the telephone
Desirable

- Judgement required when receiving calls and dealing sensitively with patients
