Job Description
To be a senior point of contact for financial services requests. To respond to all standard requests for estimated hospital charges for various treatments within 48 hours. To ensure that this estimate is agreed with the Service Managers with advice sought from the Head of Finance Operations as required. To ensure consultants and their secretaries are aware of their responsibilities in relation to receiving service charges. To establish and confirm the payment method for each private patient i.e., self-paying, insured, sponsored. To ensure Pre-Authorisation is received for insured and sponsored patients prior to treatment/admission commencing. To ensure that the appropriate level of advance payment is requested and received prior to the commencement of treatment. To advise the patient in advance when further funds are needed, thus ensuring their treatment is as seamless as possible, avoiding postponement of their treatment and associated distress. Where a self-funding patient fails to deposit further funds, ensure that the Service Manager and the consultant/clinical teams responsible for their care are informed so that where medically possible their discharge or discontinuation of treatment can be arranged whilst ensuring that the patient and their relatives are always treated in a professional and sympathetic manner during both an emotional and distressing time. To ensure refunds of self-funder credit are processed in line with processes in a timely manner. To manage payments for requests for second opinions. To co-ordinate the investigation of complaints in relation to the finance team, ensuring the necessary changes are made to system working practices to prevent reoccurrence. To identify efficiency improvements across all aspects of the finance pathway and support with developing and implementing strategies to introduce them, involving clinical as well as administrative departments. To manage inpatient extensions of stay ensuring additional funding is in place, private medical insurer extensions, sponsor guarantees. To maintain knowledge of current treatment plans, likely extensions/discharges, and relevant funding. To ensure that patients with private medical insurance have obtained Pre-Authorisation for all treatment thus avoiding the risk of bad debt to the Directorate. To check private patient outpatient clinic lists daily to ensure patients have adequate insurance cover and all self-funding patients are seen prior to their clinic appointment. To liaise with consultants, their teams, and medical secretaries to ensure that medical reports for each patient are obtained and communicated to the sponsoring institution in a timely manner to avoid postponement of treatment and/or avoid the risk of bad debt to the Directorate. To be familiar with the working needs and requirements of international clients regarding cover for treatment or services. To maintain and keep abreast of self-pay and insured accounts to control potential debt. To input all relevant patient information received onto the Compucare notepad system to facilitate continuity for the Directorate and patient. To deal with telephone enquiries in a professional, efficient, and polite manner, taking messages where required. To manage the team of Band 3s and 4s providing patient-facing services in I&PC. This will include all providing estimates, administration of outpatient clinic appointments and procedures, accounts enquiries and miscellaneous administration. To cover the Finance Services Manger role for periods of absence. To attend unit meeting as managers delegate when required. To assist other members of the team where necessary. To be a mentor and take responsibility for any Apprentice or Trainee staff. To undertake any other reasonable tasks required of the post holder by the Financial Services Manager. General Duties Maintain effective working relationships with other staff members, both within I&PC, other departments, and with external agencies. This will include working with embassies and private insurers. To act as part of the team of administrative and clerical staff within the division, providing cover to other members of the team when necessary and directed to do so by the Head of Finance Operations. To respect the confidentiality of patient data and not to disclose data to any unauthorised persons. To undertake other appropriate duties as directed by the Head of Finance Operations.
