Job summary

This is a Band 3 Administrator/Secretarial post up to 30 hours over 4 days per week including Thursday and Friday.

The post holder will work in a friendly team of approx. 25 Speech and Language Therapy staff, and will be based in the Admin Office/Reception in the department, to support your colleagues, the Speech and Language Therapists, patients and visitors.

The role involves being able to concentrate in a shared and busy office with frequent interruptions, and a wide variety of tasks and responsibilities. You will need to be able to learn quickly to follow complex systems and to become an efficient and effective member of the team, who can respond in an appropriate and timely way. You will need to be calm when under pressure, to present a professional and friendly manner to patients and staff. Flexibility is essential to cover for colleagues and to manage the competing demands of the job. There will be regular and ad hoc days when you are the sole Administrator for the department.

Main duties of the job

  • To provide efficient and comprehensive administrative and secretarial support to the Speech and Language Therapy Department.
  • To be the first front line contact with patients and visitors to the Speech and Language Therapy Department.
  • To be responsible for dealing with telephone enquiries and messages from patients, SaLTs and other staff from a variety of organisations.
  • To be responsible for ordering all departmental office supplies and therapy equipment/resources.
  • The post holder will be accountable for their actions and need to work independently using their own initiative, and be able to prioritize appropriately when there are competing demands.
  • The post holder will be expected to work as part of the team; this may also include episodes of working as the sole Administrator for the department on some days.

Knowledge and Skills

Essential

  • Excellent written English
  • Ability to communicate clearly
  • Ability to use own initiative and suggest appropriate changes

Desirable

  • Knowledge of medical terminology

Qualifications

Essential

  • RSA II or equivalent in typing/word processing
  • Advanced computer skills
  • GCSE in English Language or equivalent
  • Proficiency in Arithmetic.

Desirable

  • Computer skills NVQ3 level or equivalent.
  • ECDL

Experience

Essential

  • Secretarial including knowledge of office procedures and organisation
  • Computer literacy for excel & comprehensive use of MS Word
  • Fast and accurate copy typing and audio typing
  • Experience of working independently and as part of a team

Desirable

  • Previous NHS office / secretarial experience
  • Experience of using Lorenzo
  • Experience of using Big Hand & Oracle & other hospital databases
