JOB TITLE: Personal Assistant to Managing Director, Head of Institutional Coverage

LOCATION: London 10 Gresham Street

HOURS: Full-time

WORKING PATTERN Our work style is hybrid, which for this role involves spending 3 to 4 days per week, or 80% of your time, in our London office.

We have exciting opportunity for an ambitious, proactive and motivated individual to join the Institutional Coverage (IC) business within Corporate & Institutional Banking asPA to Managing Director, Head of Institutional Coverage.

Headed up by Lisa Francis, the Institutional Coverage team is responsible for the overall management of Financial Institution client relationships and origination of new relationships across four sectors: Global Banks & Specialist Finance, Insurance & Group Subsidiaries, Asset & Wealth Managers, and Financial Sponsors. The teams operate across the UK and North America.

The role involves working for and with Lisa, who is both a strategic leader but also a wonderful mentor, manging Lisa's office and business programme to ensure the effective use of her time and maximising her ability to focus on the management, development and strategy execution of the Group. The role forms part of the IC MD Office, supporting Lisa's Executive Assistant and Business Manager in the day to day running of Institutional Coverage and Lisa's responsibilities - assisting them with the wider business priorities and activities.

This role involves extensive diary management, coordinating a busy schedule, organising papers, briefings and content across a variety of both internal and external forums and committees - however the role is equally rewarding with the PA to the MD, Head of Institutional Coverage supporting, and at times, leading on key and flagship events at C-Suite/Senior level aligned to growing our business and relationships with our clients.

Key Accountabilities & Responsibilities

  • Managing the diary of MD to achieve the optimum time effectiveness - planning and prioritising demanding schedules and producing comprehensive information to support all appointments
  • Working close with the EA and BM to the MD to ensure the MDs schedule and day to day running meetings the needs of the business
  • Organise and collate papers, packs, briefings - liaising with the relevant contacts/colleagues and GEC offices to coordinate
  • Coordination of attendance at the Institutional Coverage Annual Flagship client dinner - with c.90 clients in attendance at C-Suite level
  • Regular communication with a wider network of PAs including GEC offices
  • Gifts & Hospitality registering, management and approval on behalf of the MD
  • International and domestic travel and accommodation for the MD which sees the MD regularly travelling to New York, Bermuda and Edinburgh
  • Processing and approval of expenses, corporate card approvals and invoices
  • Main point of contact for day to day ad-hoc questions around the MDs schedule and front of house for the MD and IC MD Office

What you'll need:

  • Ability to connect with a wide variety of stakeholders; local level, GEC offices, Sector Heads, Relationship Managers and various other key internal partners
  • Proactivity and organisation; looking ahead and thinking of the bigger picture
  • Prioritisation; understanding the priorities of both the MD and the IC MD office, what is in the MDs schedule and support in management of deadlines and understanding of what is needed.
